We are hiring a Communications Assistant to support client communication, project coordination, and day-to-day marketing operations.
Role Summary
The Communications Assistant provides administrative and communication support for both clients and the internal Vibrant Agency team. This person helps keep projects organized, ensures information is communicated accurately, and assists with the execution of marketing and communication initiatives.
This role is ideal for someone who is highly organized, detail-oriented, proactive, and enjoys supporting teams behind the scenes.
Key Responsibilities
Communication Support
- Assist with client communication and follow-up
- Help prepare meeting agendas, notes, and action items
- Support email communication and project updates
- Ensure information is communicated clearly and accurately
Project Coordination
- Track tasks, deadlines, and deliverables across multiple accounts
- Assist with project setup and organization
- Help coordinate requests between clients and team members
- Follow up on approvals, content submissions, and outstanding items
Administrative Support
- Maintain project documentation and records
- Organize client files and communication history
- Update project management systems and task lists
- Assist with recurring administrative responsibilities
Marketing & Content Support
- Assist with content collection and organization
- Support social media, website, and email marketing projects
- Help review content for completeness and accuracy
- Provide general support to marketing and communication initiatives

Required Experience
- Strong organizational and communication skills
- Ability to manage multiple tasks and priorities
- High attention to detail
- Proficiency with common digital tools and project management platforms
- Strong follow-through and reliability
Preferred Experience
- Experience in administrative support, communications, or project coordination
- Experience working with churches, ministries, or nonprofit organizations
- Familiarity with marketing and communication processes
- Experience using Asana, ClickUp, Google Workspace, or similar tools
